Welcome. We really appreciate your trust in us to manage your property! Here is a simple checklist of items that we need from you.

CHECKLIST FOR PROPERTIES WITH TENANTS
1) Leases
We will need their leases. If you don’t have a lease and/or they are month to month, we will need to know how much they are paying now AND their names and contact information. Email addresses would be a huge bonus.
2) Contact Info
Some leases don’t have accurate tenant information. If you have the latest tenant information, that would be terrific.
3) Section 8
If your tenants are currently involved with a section 8 program but payments are being sent to the previous owner, you will need to send us these things:
– Photo ID / Driver’s License
– Voided Check
– W-9 (we usually get that from you when we set up your account)
4) Keys
You may or may not have these depending on how you are handing this property off to us. If you don’t have keys, don’t panic, we may never need them. If there is an eviction involved, you will be charged $120 for a locksmith to join us in the eviction drama.
5) Inspection Report
If you can find an old one, that would be excellent as it gives us a frame of reference for your property. We get properties in all states of condition and it would be helpful if have something to start with.
6) Home Warranty
If your property has one, we need that for our files in case the tenant calls us instead of the warranty company. We also need to know who is paying for the service call. If your tenants pay for the service call, we need to know.
7) Recent Repairs
Did someone do work at your property recently? We need that information in case those repairs were not completed properly.
8) Mail Box
Is there a mailbox? Or a mailbox number? When that tenant moves out, we need to know where this is. If you have the key, we need this too.
9) Parking
Is there assigned parking? Which space(s)?
10) Insurance
We will need to be named as “Additional Insured” on your policy. This means that if something happens at your property due to tenant negligence or accidents of nature, your insurance company will represent us both. Most insurance companies do not charge extra for this. Simply contact your carrier and tell them this and they will ask you to provide a property management agreement that we will supply.
11) HOA Docs
By law, if your property is in an HOA, we are required to give this to your tenants. This is without a doubt going to be your biggest headache. We need this in electronic form AND they are usually files that are too big to send via email. We will provide you with an electronic “Dropbox” that you can put it in if you are unable to zip them up into a file. If you send us a paper version, we charge $50 to scan the package.

We can get a jump on marketing your property IF you have existing photos.
2) Keys
We will be putting a lock box on the property so our agents and other agents can access and show your property.
